We are required to screen all volunteers who will be

• Serving on our Board of Directors
• Interacting with minors in any capacity (i.e. head coaches, assistant coaches, clinicians, adult chaperones, and team managers)
• Entrusted with performing financial duties (e.g. team treasurers)

Screening for all Beacon Hill volunteers involves obtaining:

• The results of a verified Criminal Record Check

Criminal Record Check and Other Requirements

Beacon Hill is enrolled in the online Criminal Record Check (CRC). You can complete the application online in 5 minutes and the result is sent directly to Beacon Hill.

To request your CRC create your Certify account at certify.beaconhillball.com

Once logged in: select the appropriate Role, click on each requirement listed for instructions on how to complete the courses, and upload your documents.

Note for the CRC you only need to enter the date you applied for it. You’ll get an email reminder before any requirements expire so you stay compliant.

Some volunteering roles have supplemental course requirements such as:

• Little League Diamond Leader Training (one time, baseball only)
• Little League Abuse Awareness Training (annually, baseball only)
• Respect in Sport for Activity Leaders (every 5 years, baseball & softball)

If you cannot complete your CRC using the above method please email safety@beaconhillball.com for more options.

Important Notes for ALL Volunteers:

• CRCs must be updated every two years.
• CRCs previously requested by/provided for other organizations/employers will not be accepted.

Beacon Hill uses TeamSnap for Registration, Rostering, Scheduling, and Communication.

In TeamSnap you will find: 

• Schedule for games and practices
• Availability
• Assignments for volunteers for each game
• Emails
• Chat
• Adding additional contacts
• Rules for house and interlock games, and pitch count

Schedule
Click on Schedule to see the list of Games and Practices. Click on each event to see more details.

Availability
It is critical that you set your player’s availability at least 24 hours in advance so that coaches can create lineups, and to ensure there are enough players to play the game. To set availability click on box on the right side of the event, or click on the Game, and click "Going, Maybe, or No"

Gameday Assignments
Each game needs several parent volunteers for Scorekeeping, Field Prep, Scoreboard, and more. To view and select assignments, click on the game in the schedule and then click "Assignments" and take your pick.

Communication
Click on Messages in order to access team Chat and Emails. Emails will also be delivered to your regular email inbox.

Adding Additional Contacts
You may want to add another parent or caregiver to receive email communications about the team schedule. To get started, go to the Roster button at the bottom of the page and then follow these instructions:

• Click on your player's name and + Add Family Member.
• Enter the name and email of the person you wish to addand click the Save button.
• Click on the Invite to Join button.

TeamSnap will then send them an email invite that walks them through the process.

Let your additional contacts know this email is coming and ask them to let you know after they have joined TeamSnap.

Rules
Rules for house and interlock games, and pitch count are found in the Files section. Click the 3 dots in the top right corner then click Files.

• Team Managers are an integral part of running a smooth season in Rookie Minors, Minors, and Majors. Each team must have a Team Manager, whose primary duties are to communicate with the team about practices, games, game volunteer assignments (field prep, scorekeeping, scoreboard, announcer), uniform pick up and collection, and any other administrative communication required. Managers are critical so that coaches can focus on coaching!

Scorekeepers are an essential part of the game. Each Rookie Minors, Minors, and Majors team is required to provide 1 scorekeeper per game. These tasks will be assigned in TeamSnap. Please note that all families are expected to scorekeep, scoreboard, or announce from time to time, unless they have paid the $250 volunteer opt-out fee.

Away/Interlock Games: How to setup, score, and designate scorekeepers on GameChanger 

Please note:

• At Pemberton, the scorekeeper can use their phone, similar to at away/interlock games.
• You can practice scorekeeping for free by downloading the GameChanger iOS or Android App.
• Paper scoresheets are still available if needed.

Scoreboard Operator

The home team is responsible for providing a scoreboard operator at Hollywood or Pemberton.

Announcer

The home team is responsible for providing an announcer at Hollywood or Pemberton. The announcer can play music between innings and will announce each player coming up to bat. Please use the designated iPad and playlist(s) on YouTube Music, and ensure that all songs are family friendly without explicit lyrics or profanity.

The game can’t start without a properly prepared field. Unless your family has paid the $250 fee to opt out of volunteering, it is important that you know how to set up and take down the field properly for when your turn comes!

The Home Team is responsible for:

• Opening the clubhouse (head coaches have keys), use the key hanging inside the clubhouse door to unlock the field gear shed under the stairs, and return the key to the clubhouse. Note this only needs to be done for the first game of the day. (key pic below)
• Remove the tarps on the pitcher's mound, home plate, and bull pens. Fold them and carry them off the field.
• Rake the pitchers mound, 1st, 2nd, 3rd base, and home plate areas using the large rakes from the shed
• If the home plate and base areas are wet; push away as much water as possible and use Quick Dry to absorb any remaining water in critical areas
• Use the field liner chalk machine to line the batters box, and 1st and 3rd base lines. Do not line the grass field as that is already painted
• Remove the base rubber caps (place in the shed), and install the magnetic bases and rubber bases
• Setup 5 flags in the Home and 5 flags in the Away stands

The Away Team is responsible for field cleanup when it’s the last game of the day (If in doubt, check the field schedule): 

• Put bases away and install the rubber caps
• Rake base areas
• Cover pitching mound, home plate, and bull pen with tarps
• Put 10 flags back into the shed (they hang horizontally in under the ceiling)
• Put all gear back in the shed
• Use the key in the clubhouse to lock the shed
• Clean clubhouse (sweep and empty garbage)
• Lock windows
• Lock the clubhouse door (coaches have keys)
